Customer account
When you create a customer account to access the Parts Marketplace documentation and request quotes, we collect your name, email address, username, password (stored in encrypted form), company and the information you provide at registration. We use this data to confirm your email address, review and approve your access, manage your customer area and secure your account. Legal basis: steps taken at your request prior to entering into a contract, and our legitimate interest in reserving detailed technical information for professional customers.

Quote requests
When you submit a quote request, we collect the parts and quantities selected, your contact and company details (first and last name, company name, country, postal address, phone number, email address) and any notes you add. We use this data to prepare and send you a quote, answer your questions and follow up on our business relationship. Legal basis: steps taken at your request prior to entering into a contract, and performance of the contract where applicable.

Service request and contact forms
When you use our service request forms (Equipment Upgrade, Foundry Service Request, Customer Onsite Support) or a contact form, we collect your identity, company, contact details and the details of your request. These requests are recorded in our customer relationship management (CRM) tool so that the relevant IBS team can process them. Legal basis: steps taken at your request prior to entering into a contract, and our legitimate interest in answering enquiries and developing our business relationships.

Job applications
Job offers published on this website link to our recruitment platform, Teamtailor. Applications are submitted and processed on that platform, under the conditions described in its own privacy notice. Legal basis: steps taken at your request prior to entering into an employment contract.

Technical and security data
When you browse this website, our servers automatically record technical data such as your IP address, browser type, pages requested and the date and time of access. We use this data to operate, secure and maintain the website. Legal basis: our legitimate interest in ensuring the security and proper functioning of the website.

We do not sell your personal data, and we do not use it for automated decision-making or profiling.

3. Recipients

Your personal data is only accessible to authorised IBS staff who need it to handle your request, including, where relevant, staff of the IBS group entities in the United Kingdom, Singapore and the United States. It may also be processed on our behalf by service providers acting as data processors, bound by contractual confidentiality and security obligations:

website hosting: Hostinger (Lithuania, European Union);
customer relationship management: Ines CRM;
delivery of transactional emails (account and quote request emails): Elementor Email Deliverability;
recruitment: Teamtailor;
website design and technical maintenance: Super3 Studio (France).

We may also disclose personal data where required by law or by a competent authority.

4. International Transfers

Where personal data is transferred outside the European Economic Area, for example to IBS entities in Singapore or the United States or to a service provider located outside the EEA, the transfer is based on an adequacy decision of the European Commission (such as for the United Kingdom) or on appropriate safeguards, in particular the European Commission’s Standard Contractual Clauses.

5. Retention Periods

Customer account data: for as long as your account is active, then deleted or anonymised 3 years after your last activity;
quote requests and related correspondence with prospects: 3 years from our last contact with you;
data relating to customers and contracts: for the duration of the business relationship, then for the applicable statutory limitation periods, and 10 years for accounting documents;
technical and security logs: 12 months;
job applications: as described in Teamtailor’s privacy notice.

6. Security

We implement appropriate technical and organisational measures to protect your personal data against loss, misuse and unauthorised access, including encrypted connections (HTTPS), encrypted storage of passwords, access restricted to authorised persons and two-factor authentication for administrator accounts.

7. Your Rights

In accordance with the General Data Protection Regulation (GDPR), the French Data Protection Act (Loi Informatique et Libertés) and, where applicable, the UK GDPR, you have the right to access, rectify and erase your personal data, to restrict or object to its processing, to data portability and, where processing is based on your consent, to withdraw that consent at any time. Under French law, you may also give instructions regarding the storage, erasure and communication of your personal data after your death.

This website only uses cookies that are strictly necessary for its operation, which do not require your consent:

session and login cookies, to keep you signed in to your customer area and secure your session;
parts cart cookies, to remember the parts you have selected for a quote request;
a language preference cookie, to display the website in the language you have chosen.

At the date of this policy, this website does not use audience measurement, advertising or social media tracking cookies. Links to our LinkedIn, YouTube and Facebook pages are simple links: these platforms only process your data if you follow them, under their own privacy policies. If non-essential cookies are introduced in the future, they will only be set after you have given your consent through a cookie banner, and this policy will be updated accordingly.

We may update this Privacy Policy to reflect changes in our practices or in applicable law. The date of the latest update is shown at the top of this page.
